The subject: a mid-sized tech company headquartered in California’s Silicon Valley. The goal is to find a local vendor who can help with the following:

  • Print production
  • Kitting and assembly
  • Warehousing
  • Nationwide shipping and distribution
  • Integration with their customer relationship management (CRM) system

Using traditional keyword search, this process, including associated research, could have easily taken this company two to four weeks. With AI-assisted search, this timeframe shrinks to just a few days. Here’s how.

Step 2: Initial vendor discovery that goes beyond traditional search

Step 3: Structured comparisons, where AI really shines

Now it’s time to really put AI to work by asking it to organize the results. Using the same AI agent, enter the following prompt:

“Please provide a subjective comparison of these vendors based on services, industries served, technology integrations, and geographic reach.”

With the prompt, AI will produce a side-by-side comparison of the listed vendors, often in the form of a table, highlighting differences such as tech-enabled vs. manual workflows; industry specializations; distribution capabilities; and more. In a matter of minutes, AI provides a usable list that would have previously taken hours working with spreadsheets. 

Step 4: Narrowing to a shortlist

Here is where the company needs to refine these results based on their specific needs. The following prompt is just an example for this particular scenario; substitute your requirements as necessary.

“Which of these vendors are best suited for a mid-sized company needing API integration with Salesforce and fast West Coast shipping?”

This is where AI starts separating the wheat from the chaff, eliminating the poor fits and highlighting the top candidates, along with a detailed explanation about why the shortlisted vendors are a good match. It’s actual detailed research and analysis, not just search engine results.

Step 5: Deeper vetting and due diligence

AI can help organizations dig deeper into the shortlisted vendors with the following prompts:

“Please summarize customer reviews and case studies for [vendor name].”
“What are common complaints or risks with companies like this?”

Following these prompts, AI will aggregate all available testimonials, case study insights, and known weaknesses to provide directional insight into each subject. It’s important to note that this is based on opinion, not the final truth, and further validation is required. At this point, a face-to-face meeting is invaluable—something that AI can’t do. Additional AI-Assisted Searches

At this point, the company should be armed with enough information to begin the interviewing process. However, AI isn’t finished helping. If needed, you can use your preferred AI engine to help you:

  • Build a request for proposal
  • Draft a vendor outreach e-mail
  • Analyze the incoming proposals
  • Identify any potential risks associated with the final prospects
  • Assist with the final decision-making process

As with the previous steps, properly worded prompts produce the best results. AI can help you craft just the right language.

In the end, finding and selecting the right vendor is still a search process. How exactly is AI changing the game compared to the “old way”? The answer is “substantially.”

Before AI, finding the right vendor required multiple searches, manual website reviews, detailed spreadsheet comparisons, and lots of internal guesswork on requirements.

With AI, vendor searches are the result of conversational discovery, where those seeking services can articulate their requirements in simple English rather than trying to reduce them to simple (and often vague) keywords. With the right prompts, the results provide a list of qualified vendors, an instant and objective comparison, rapid shortlisting, and a better list of questions much earlier in the process to quickly focus your efforts.

According to research, AI improves the top 70 percent of the search process by helping clarify requirements must faster and clearer; making discovery faster, broader, and less biased by SEO; dramatically accelerating the vendor comparison phase; and confidently producing a stronger and solid shortlist.
